Accelerated project management with automation in public services

Context & Objectives

A Belgian government office oversees numerous complex projects. Monitoring these projects requires sending, updating, and consolidating multiple Excel files to retrieve feedback.

This time-consuming work demands regular contact with stakeholders such as the Secrétariat Général, Administrations générales, and government representatives to request and send consolidated information.

They requested Agilytic to demonstrate that we could automate this task to make project execution more efficient.

Approach

We started with a business analysis workshop with stakeholders to understand their business needs.

Next, we did a market analysis of the no code and low code tools available to ease the data collection for the client. The goal was to make the most of existing solutions and avoid asking a third party if the client needed a minor update.

We then conducted agile development of the data flow with Power Apps for data collection, TIMi for ETL, Zenkit for data referential, and Power BI for reporting. We met weekly with the project management officer to assess the progress of the data flow development and define the next priorities.

Finally, we wrote recommendations for developing a data flow in production. Based on the market study, the experience with the different tools used, and the business requirements, we advised the client of an infrastructure that would fit.

The main deliverable was the PowerPoint presentation of recommendations and the proposed infrastructure. We handed over additional deliverables in the form of:

  • TIMi scripts to query Zenkit, perform ETL, and create data files to feed Power Apps

  • Power Apps

  • Power BI

  • Microsoft licensing guidelines for Power Automate and Power Apps
